What to expect
What happens after you submit the form.
We respond within four hours during business hours and same-day on most submissions. The first interaction is always a senior strategist — we don't triage incoming inquiries through junior account staff. The intake conversation is short (15-20 minutes), focused on understanding your specialty, current funnel state, and growth target. From there we either schedule a 60-minute strategy session, send a written 90-day diagnostic outline, or — if you're not the right fit for our engagement — point you to the partner we'd recommend instead.
HOUR 1-4
Initial response
A senior strategist reviews your submission and replies via email or WhatsApp. We acknowledge receipt, share three available time slots for a follow-up call, and ask any clarifying questions if your specialty or growth target is unusual. No automated emails, no junior account triage, no AI-generated responses.
DAY 1-3
Discovery call
60-minute Zoom or in-person conversation with the senior strategist who will own your engagement. We map your current funnel state, competitive landscape, growth target, and operational capacity. We share specialty-specific benchmark data and indicative budget ranges. No sales theatre, no manufactured urgency.
DAY 5-7
90-day plan
Written proposal with 90-day deliverable plan, channel-mix recommendation, budget bands, and named team. Yours to keep whether you engage us or not. The written plan is calibrated to your specialty, geographic competition, and operational capacity — it's not a generic template.
What we'll ask you
- Your specialty + current case mix — single specialty solo practice, multi-specialty group, hospital line, or platform? Each has different economics.
- Geographic catchment + competitive density — single tier-1 city, multi-location, international intake, or telehealth scale?
- Current funnel state — what marketing layers are operational, what's leaking, what's working but capped?
- Operational capacity — how many new patients can you actually service before quality degrades? (Marketing has to match intake.)
- Compliance environment — ASCI, FTC, HIPAA, PCPNDT, FDA — which apply to your specialty?
- Growth target + timeline — what does meaningful growth look like in 12 months for your practice?
What we won't do
- Promise specific patient volume increases without a 90-day audit. Healthcare marketing outcomes vary 3-5× based on case mix, geographic competition, current funnel maturity, and operational capacity. Anyone who promises specific numbers without diagnosis is selling.
- Take you on if you're not the right fit. If your situation calls for a generalist agency, a freelancer, or an in-house build, we'll say so. We turn down 30-40% of qualified inquiries because the fit isn't mutual.
- Run paid media without operational alignment. If your intake response time is over 30 minutes during business hours, we won't scale paid acquisition until that's fixed. The spend leaks otherwise.
- Hard-sell on the call. The discovery conversation is a diagnostic, not a pitch. If we're the right fit, the next step is a written proposal you can review independently. If we're not, we'll point you to who is.
