Refund Policy

At Branding Pioneers, we are committed to delivering high-quality healthcare marketing services and building long-term partnerships with our clients. This Refund Policy outlines the circumstances under which refunds may be issued.

1. Refund Eligibility

Refunds may be considered in the following circumstances:

  • Service not initiated: If you cancel a project before any work has commenced, you are eligible for a full refund of prepaid service fees (excluding any non-refundable setup or consultation fees).
  • Duplicate payment: If you have been charged twice for the same service, we will refund the duplicate amount in full.
  • Service not delivered: If we fail to deliver agreed-upon services or deliverables within the timeline specified in the Statement of Work (SOW), and the delay is solely attributable to us, you may request a proportional refund for undelivered work.
  • Material breach: If we materially breach the terms of our service agreement and fail to remedy within 14 days of written notice.

2. Non-Refundable Items

The following are not eligible for refunds:

  • Completed work: Fees for services or deliverables that have been completed and delivered (e.g., website designs, content, ad creatives)
  • Ad spend: Third-party advertising costs paid to Google, Meta, LinkedIn, or other platforms are non-refundable as these are paid directly to the platform
  • Setup and onboarding fees: Initial setup, audit, strategy, and onboarding fees cover time and resources already expended
  • Third-party costs: Hosting fees, domain registrations, premium plugins, stock images, and other third-party purchases made on your behalf
  • Monthly retainer (active engagement):If you cancel mid-month, the current month's retainer is non-refundable as resources have already been allocated
  • Consultation and strategy sessions: Paid consultation calls and strategy workshops are non-refundable

3. Refund Process

To request a refund:

  1. Send a written refund request to official@brandingpioneers.com with the subject line "Refund Request — [Your Company Name]."
  2. Include your invoice number, the service in question, the amount requested, and a detailed explanation of why you are requesting a refund.
  3. Our team will acknowledge your request within 2 business days and conduct an internal review.
  4. We may request additional documentation, a call, or a meeting to discuss the matter.
  5. A final decision will be communicated within 10 business days of receiving all necessary information.

4. Refund Timeline

  • Approved refunds will be processed within 10-15 business days from the date of approval.
  • Refunds are issued via the original payment method (bank transfer, credit card, or PayPal).
  • International refunds may take additional processing time (up to 30 business days) depending on your bank and country.
  • You will receive email confirmation once the refund has been initiated.

5. Exceptions and Special Circumstances

  • Performance-based concerns: We do not offer refunds based solely on marketing performance outcomes (e.g., rankings not achieved, fewer leads than expected). Digital marketing results depend on many variables and cannot be guaranteed. Please review our Disclaimer for more details.
  • Client delays: If project delays are caused by the client (e.g., delayed approvals, unavailability, failure to provide required assets), this does not constitute grounds for a refund.
  • Force majeure: Refunds will not be issued for delays or non-performance caused by events beyond our reasonable control, including natural disasters, pandemics, government actions, or internet outages.
  • Goodwill credits: In some situations, we may offer service credits or bonus work in lieu of a monetary refund as a goodwill gesture.

6. Dispute Resolution

If you are unsatisfied with the outcome of a refund request, we encourage you to reach out directly to our leadership team. We are committed to finding a fair resolution for all parties. Unresolved disputes will be handled in accordance with the dispute resolution procedures outlined in our Terms of Service.
