Pioneer OS · the system we run on

One system, from first enquiry to renewal.

Every client we take on runs through Pioneer OS, the operating system we built for our own agency: one pipeline, one onboarding checklist, one approval flow, one client portal and one reporting rhythm. Here is what happens, step by step.

Screens on this page are recreated with a fictional Demo Clinic. No client data is shown.

The lifecycle

Four steps to start. A loop that runs every month.

Winning a client happens once. The monthly loop — plan, produce, approve, report, bill — runs for as long as we work together, and the team side keeps it moving underneath.

The Pioneer OS client lifecycleFour steps win the client: lead in, sales pipeline, proposal and onboarding. Then a monthly loop repeats: monthly rhythm, content workflow, client portal, reporting, and billing and renewal, which leads back into the next month. Underneath, the team side runs departments, day plans, discipline scores, attendance and HR, academy and SOPs.Win the clientEvery month,again01Lead in02Sales pipeline03Proposal04Onboarding05Monthly rhythm06Content workflow07Client portal08Reporting09Billing & renewal10Team side — SEO, social, ads, web, design and video departments, day plans, discipline scores, attendance and HR, academy and SOPs

    Lead in

Enquiries arrive from the website, ads, WhatsApp, referrals and LinkedIn into one pipeline. On WhatsApp, an AI front desk replies straight away and logs the lead with its source, so nobody waits for office hours.

    Sales pipeline

Every lead moves through the same stages — lead received, RFP sent and completed, proposal shared, follow-up, meeting, proposal discussion and won. Each stage carries a win probability, so the forecast is a sum, not a feeling.

    Proposal

You get a live proposal link instead of an attachment. It records when it is opened, so we know it has been read before we follow up, and you accept it online.

    Onboarding checklist

Contract, invoice, NDA, kickoff call, brand guidelines, and access to the website, analytics, social and ad accounts — one checklist, visible to both sides. Once it is done, the playbook for each service creates every task automatically.

Next month’s plan — social, Google Business Profile, blog and ads — is due to you by the 25th, and the system raises it ten days early so it is never written the night before. Last month’s report is due by the 5th.

    Content workflow

Every post and page moves from idea to planned, in production, internal review, client review, approved, scheduled and posted. You approve in the portal, or by a one-tap link with no login. QC review and revision counts are tracked on each piece.
